Volunteer Positions

Here is a list of the positions needed for the daily operation of this organization. Please submit your requests to Suffern_Mounties@yahoo.com Head Coach: See Attachment from the Pop Warner Rule Book: Article 5: Coaches Requirements. If Head Coach is NOT present, the Head Coach will designate an Assistant Coach to carry out his duties as the Head Coach.
Assistant Coach: All duties will be assigned through the Head Coach as he sees fit and in accordance with Article 5: Coaches Requirements.
Equipment Coach: You will be responsible for all equipment including but not limited to jerseys, practice and game pants, helmets, shoulder pads, pant pads and rib pads. You will maintain the equipment bag for the team containing alls, bags, first aid kit, flags or any other items deemed necessary by the Head Coach. You will be responsible for coordinating with the Director of Football to obtain items necessary for your players. Report to the Head Coach.
Cheer Equipment Manager: Attend all fittings. Keep tallies on all order forms. Prepare orders for midriff, boy short, vest, skirt, socks sneakers, campwear and winterwear through outside vendors, local and internet communication. Distribution of all items and follow-up on orders. Bagging and tagging main uniform items. Distribution and coordination of bagging and tagging winterwear and campwear. Coordinate with Football Merchandise Coordinator for like orders. Dealing with all vendors and reporting all payment deadlines to the Director of Cheerleading.
Team Mom: Line up boys and participate in weigh ins. Work with Membership Coordinator to collect all roster necessary documents for player certification. Attend all games and practices as a rostered adult. Reports to the Head Coach.
Spotters: This requires 2 people for HOME games ONLY. The opposing team manages the spotting. One on the HOME side and one on the OPPOSING side. The HOME (our side) spotter helps the OPPOSING (manages MPR) spotter count the plays. Our spotter (manages MPR) on the OPPOSING SIDE. The spotters will keep track of the opposing teams players to make sure mandatory minimum play rules are followed. You will check off each player who participates in a play. You will be given a pre-printed form to use. All spotter sheets are turned in to the home team spotter for recording to the County. Arrival to the game is a ½ hour prior to game start time. Home team spotter give the completed MPR sheets for both teams to the Head Coach. Report to Head Coach.
Chains and markers: Three people needed for home games. Cheerleading parents welcome. You will stand on the sidelines and hold the 10 yard chain markers and possibly the down marker. You will follow the ball and direction of the game referees. Arrival to the game is a ½ hour prior to game start time. Report to the Head Coach or designate for direction.
Game Announcer Football: This person will announce all home games for their team and opponent at ALL home games. They will have a current copy of both teams rosters including cheerleading. They will play the Star Spangled Banner. They will, to the best of their ability, announce the kick off, all plays for both sides, half time activities, play music between plays when appropriate. You will be responsible for the equipment in the tower. When your game is over, all equipment should be shut down and started up by the next announcer. Music and rosters need to remain in the announcing booth. Coordinate tower usage with Cheerleading Announcer. Report to the Head Coach.
Game Announcer Cheerleading: This person will announce home games for their team and opponent at ALL home games. They will have a current copy of both teams cheerleading rosters. They will announce all cheerleaders to the field at half time. They will take care of all half time activities for cheerleading including half time music for the cheerleaders. Music and rosters need to be returned to the Head Coach. Report to the Head Coach.
Recruiting Coordinator: (POSITION BEGINS OFF SEASON) Attend monthly meetings on strategies for recruiting of football and cheerleading. Brainstorm and pool resources on contacts. Pick up and distribute flyers to necessary contacts from Suffern Little League, Ramapo Little League, ASA Softball, Boy Scouts, and Girl Scouts. You will need to attend Monthly meetings November through June. Be knowledgeable of all level requirements and Associations goals. Report to Director of Football and Director of Cheerleading.
Awards Coordinator: Coordinate end of season party for football and cheerleading. Including drinks, balloons, snacks, cakes, paper goods and plastic wear, yearbooks etc. Coordinate with Concession Manager year end concession inventory and Yearbook Coordinator. Obtain trophies from the Secretary or may produce them for distribution to children. Secretary or Director of Administration will produce and mail invitations and produce trophies and nameplates and coordinate with party coordinator. If the secretary is unavailable Awards Coordinator will assume task. Duties also include but are not limited to end of Season, Trophies, invitations and the Flower Cermony: being responsible for the last home game end of the game flower ceremony. This is for Flag level through Tackle. This person will be responsible for making sure each head coach for football and cheer are aware when it will take place. Make sure the proper time is allotted for it. Make sure the Director of Cheer or President is aware prior to the ceremony to communicate to the referees that this will be taking place as well as the visiting team so they are aware. Make sure she knows the number of children on each team and places orders for the flowers with the right amount of notice to Colonial Florist in Suffern. Pick-up flowers and transport them to the fields that day. Be at each ceremony to ensure that it is run smoothly. Report to Director of Administration.
Website: Maintain updates of events. Lottery, schedules, Forms update, safety, overall general maintenance. Knowledge of website development and HTML tags are necessary. Report to Director of Administration
Concession Coordinator: (revenue generator) Manage day to day home field operations. Selling items including but not limited to concession, merchandise and novelties during practices and home games. Coordinate the scheduling of volunteers to man the concession during practices and home games from Flag through Tackle. Participate in the planning for Suffern Day, Trophy Night and any other event deemed necessary by the President or Director of Administration. Notify the Director of Concessions of any re-orders or requests. All proceeds are maintained and logged by the Concession Coordinator. Gives deposits to Director of Administration with documentation on deposit. Reports to the Director of Concessions.
Yearbook Coordinator and Production: (revenue generator) You will be responsible for all mailings of advertisement information to the community and membership. You will use Board approved forms for distribution. You will need to coordinate all members volunteering to assist in obtaining advertisements from Corporate, local merchants and member families. You will report to a Board member regarding your progress. All advertisements will go to a Board Member first to record payments. After payments are recorded advertisements are turned over to you. A full procedure will be outlined on advertisements in and out as well as deadlines and dates. You should be well versed in e-mail and Microsoft Excel and have good communication and coordination skills. You will need to recruit assistance from the current membership. You will need to coordinate with football and cheerleading. Director of Administration
Football Merchandise : (revenue generator) You will maintain and sell any merchandise approved by SMM. You will need to be available during training camp and home games. This is the sale of bulk items and order blank only items. Prices are set by the Board and all artwork is subject to Board Approval. Prepare and assemble order blank only items. Coordinate order blank only items with Fundraising Coordinator. Money is collected and put into an envelope marked Merchandise and given to the Fundraising Coordinator. Reports to the Fundraising Coordinator.
Photo Coordinator: (revenue generator) Coordinate for football and cheerleading. Assign timeslots as designated by Board approved photo distribution company. Prepare documents for membership for distribution, Distribute photo day envelope, coordinate times with Photo company, arrive prior to photo company to make sure location is prepared for shooting. Communicate with each team parent or administrative coach what is required prior to photo day. Make sure all teams are ready to go for each team and team individuals. Coordinate dates and time with Yearbook personnel. Contracting done by Board through Fundraising Coordinator. Report to Director of Administration.
Fundraising Coordinator: (revenue generator) Lottery: Pick up tickets from printer. Assign tickets per family, distribute during training camp, manage and monitor ticket sales, monitor daily number selection, e-mail weekly to Treasurer of winners and web site coordinator for update. Maintain all spreadsheets of tickets distributed and Daily Number winners. All deposits are given to the Chris Sharp or Lisa Clifford 50/50: (revenue generator) Coordinate for each game the sale of 50/50 tickets. You will be given the name of all volunteers and the team they are on as well as Team Mom/Administrators for Football and Cheer. It will be your responsibility to get your volunteers prior to game day. If no volunteers are found, you will be responsible to fill the position at each game. The tickets will be sold through half time and announced in the 3rd quart. Prices and quantities will be decided prior to the season start. You will collect the tickets, break them up, count and split the proceeds and have the number picked and called during half time with one board member present. Document in a log sheet all monies collected, winnings awarded and proceeds to the organization. Mark all proceeds on a SMM Envelope and give to Director of Administration.
Additional duties come up during the season that can not be listed. If you are interested in helping out during the season but can not committee to a committee head, please fill out the volunteer form and indicate what job you may be interested in and we will give your name to the appropriate committee person.
Any dinners, golf outings etc to raise money should report to the fundraising coordinator. All ideas are welcome and will be discussed and voted on by the Governing Board of Directors. All contracts, pricing and logos are created and approved through the Governing Board of Directors. Job descriptions will be added and amended as the need arises.
